RoloFlex Pro works as your customer and prospect database system on a daily basis. You start by customizing RoloFlex to show your company logo and name, plus the data entry defaults that make sense for your business. A single professional may default themselves as the REP, and enter the categories that they desire such as "Prospect", "Customer", "Web Inquiry", etc. and default the value to "Prospect" for quick data entry. A local school or church organization can default their city to avoid repetitive data entry.
New data entry records start with a blank screen, and you add all details about your contacts including the address, phone (RoloFlex auto-dials when you connect your faxmodem with a phone cord to a live phone jack), callback date, etc: a standard and well endowed rolodex manager. Enter the website, click the WEB button, and your browser opens to that site. Can't remember Jose's last name or company? Use the person finder and jump right to the company they belong to and their info.
That's when RoloFlex exceeds your expectations by expanding your normal ability to save history of contacts, people details (including birthday and photographs) and allows you to attach documents to each contact. Switch to the Related Documents tab and connect them to documents on your network or PC.
The FILTER checkboxes next to the company categories/attributes allow you to do repetitive data entry for a group of our contacts. Example: you do a trade show and bring back a box of names, so pop the filter on all four attributes for SOURCE/trade show, CATEGORY/prospect, REP/none, and STATUS/send info, so that this info is defaulted for all new entries and you zip right through your data entry chore.
The small buttons inside the data entry windows pop up SELECTION/PICK LISTS sorted by the window. The company name selection list is searchable, say for "Lighting Equip...." and jumps you right to what you want. Pop on the filter to "Prospect" and the selection list shows ONLY prospects! Pop the filter on "trade show" and only the trade show entries show up!
Now for the EMAIL MODULE.
Your trade show prospects from January 2010 need a follow letter. Type and save your follow letter into the database like a word document, and you'll be able to blast an individual letter to each of the new prospects with a few strokes, it interfaces with your Windows Mail system or Web Mail, and fires out your letter just like you sent each one a personal message. As it does so, it leaves a history entry in each prospect that the message was emailed to them.
The reporting system in RoloFlex offers a number of basic reports such as callback dates, lists of varying kinds, and birthday lists. It's all very straightforward, and you can even send output to a .PDF disk file or .DOC word file instead of paper.
